Keep HubSpot for marketing and run sales in Lightfield

You can keep HubSpot for marketing and run sales in Lightfield. Lightfield’s HubSpot sync brings companies, contacts, and deals into Lightfield automatically as they’re created or updated. Marketing keeps working where it is, and sellers get every new lead without anyone re-entering it.
This page covers how the sync works, what it moves, and how to get it running.
What each system does
Lightfield is an agentic CRM. It captures every customer interaction across email, calendar, and calls, organizes that history so agents can work from it, and gives them the tools to do consistent, high-quality work. Your sales team works from that history in Lightfield.
Your marketing team stays in HubSpot, and its campaigns, forms, lists, and nurture flows stay exactly as they are. There’s nothing to rebuild.
How the sync works
Setup has two parts:
- A Lightfield automation that receives records. Describe what you want, and Lightfield’s agent builds it for you in chat.
- A HubSpot workflow that sends records to Lightfield. It fires whenever a record is created or a synced property changes.
Once both are on, the sync runs on its own. New companies, contacts, and deals appear in Lightfield, and changes to the fields you map keep them current.
Every record is matched on its HubSpot ID, never by name. Updates land on the right record, not on a look-alike.
What moves
HubSpot | Lightfield |
Companies | Accounts, created and updated automatically |
Contacts | Contacts, created and updated automatically |
Deals | Opportunities, created and updated automatically |
Properties you choose, such as lifecycle stage and lead source | The Lightfield fields you map them to |
Deletes and merges | Not synced, so nothing disappears from Lightfield because of a change in HubSpot |
You decide exactly which properties sync, so sellers get the fields they use without the clutter.
What you need
- Lightfield: a plan with automations (Pro, Growth, or Enterprise), plus an owner or admin to set it up
- HubSpot: Data Hub Professional or Enterprise, which the workflow’s custom code action requires
How a lead reaches a seller
Set the HubSpot workflow’s enrollment criteria to match your handoff, for example when lifecycle stage becomes SQL. Only qualified leads reach sales. Your Lightfield automation can set the owner as the record arrives. The seller then opens an account that already has every email, meeting, and call captured.
Marketing stays in control
The sync only reads from HubSpot and never writes back. Subscription status, consent, and list membership stay exactly as marketing set them, and HubSpot remains the source of truth for who can be marketed to.
Sending sales results back to HubSpot
The standard sync runs from HubSpot to Lightfield. If marketing wants deal stage, amount, close date, or customer status in HubSpot, there are two ways to send them back. Lightfield automations can push updates to other systems, and the Lightfield API (in public beta) supports custom two-way integrations. We’ll help you scope what should flow back.
Keeping it running
Once the sync is live, there’s very little to manage:
- Existing records: enroll them in the HubSpot workflow once to bring them over.
- New fields: add the property to the HubSpot workflow and to the Lightfield mapping.
- Webhook URL: keep it private, and update the HubSpot secret if it ever changes.
Before you connect
Four quick decisions:
- Which HubSpot properties should sales see in Lightfield?
- What makes a lead ready for sales?
- Who owns new records in Lightfield?
- Which sales results, if any, should flow back to HubSpot?
Who this setup suits
Teams that run marketing in HubSpot and want sellers working from Lightfield’s customer history, without moving marketing.
